The project scope & deliverables
(Scope & Deliverables, Constraints/assumptions ) This is a statement which provides information in a documented basis for making future project decisions and for developing and confirming a common understanding of the project scope among the stakeholders. The Project Scope Statement provides a description of the project scope, including major deliverables shown in the project objectives, but, in more detail. As the project progresses, the scope statement may need to be revised or refined to reflect approved changes to the scope of the project.
Create a list of things the project needs to deliver in order to meet project objectives. Specify in a general manner when and how each item must be delivered. A more accurate delivery dates will be established during the scheduling phase.
Boundaries should be defined, where your project will span to are the boundaries of your project. Boundary statements help to separate the things that are applicable to your project from those areas that are out of scope.
Product requirements describe the characteristics of the deliverables. If you were building a University, for instance, most of the requirements would be product based. These might include the number of students the university would hold, the size of lecture rooms, the means of moving around the building, the color of the rooms, etc.
Process requirements describe how people interact with your product and how a product interacts with other products. For example, when you discuss how data is moved and how business transactions flow from one point to another, you are describing process requirements. If you need to describe the requirements for billing transactions, most of the requirements could end up being process based.
Who will be involved in managing the project + responsibilities
(Roles/responsibilities ) May just be the titles of those involved, not the persons name. An instance might be the budget control manager - the scope of the activity is to controls money flow used in resource usage as defined in the project plan. Money resources used outside of this activity requires approval by others in the management chain. Communications Plan Create a document showing who needs to be kept informed about the project and how they will receive the information. The most common mechanism is a weekly/monthly progress report, describing how the project is performing, milestones achieved and work planned for the next period.
Efficient feedback requires routine, formal reporting by exception. This is most easily done with turnaround documents identifying the new and current tasks for which each individual is responsible. Establishing routine feedback through the Project Office frees the Project Manager to focus on resolving issues and avoiding risks.
